We’re looking for a Production Assistant to join us—a proactive, self-motivated person who thrives in a creative environment. The role's key focus is supporting the founders in the production and administration of Palladian’s business and projects. This is an exciting opportunity to join a growing film production company and also contribute to the launch of a design-led collaborative workspace in Dorking.

You will need strong critical thinking skills, and be a quick learner who thrives in a fast-paced environment. A degree or training in a relevant field is a plus, but we’re just as interested in your practical experience, problem-solving ability, and enthusiasm for the role.

We welcome discussions about flexible working arrangements to suit your needs - we are open to considering part-time or compressed working hours for this position. While the role requires meeting deadlines and being available for key tasks, we support a healthy work-life balance.

As Production Assistant, you will provide vital support to our team throughout all stages of film production and business operations. You’ll work closely with directors, producers, and crew to ensure everything runs smoothly - from shoot planning and budget management to logistics and administrative tasks. Additionally, you will play a key role in launching and managing a co-working and meeting space, assisting with bookings, events, marketing, and logistics.

Your Responsibilities

Production Coordination

  • Keep our project management system updated with timelines, deliverables & deadlines.
  • Track project budgets and expenses, reporting updates to the team.
  • Coordinate asset and equipment use for shoots.

Administrative Support

  • Maintain and update our CRM system, logging client interactions and progress.
  • Organise and manage project documents in Google Drive.
  • Support recruitment by scheduling communications and preparing onboarding documents.


Co-Working Space Support

  • Manage bookings for the co-working and meeting space, ensuring smooth day-to-day operations.
  • Assist with organising networking events, creative meet-ups, and other hosted gatherings in the space.
  • If interested, contribute to the design and business development of the space, working closely with our directors and design team.

Production Support

  • Assist with logistics for shoots, including kit preparation and crew bookings.
  • Provide remote or on-site support on shoot days as needed.

Business Operations Support

  • Help manage financial admin, including tracking expenses, reconciling budgets, and raising invoices in Xero.
  • Assist with social media tasks by compiling assets and preparing basic copy.
  • Track and follow up on action points from meetings and help schedule team updates.
  • Support directors with operational and business growth tasks.

What We’re Looking For

  • A genuine passion for film, photography or other visual creativity.
  • Highly organised, with great attention to detail and time management.
  • Strong administrative skills, including document management, scheduling, and maintaining systems like CRMs or project trackers.
  • Confident with numbers and budgets—comfortable tracking expenses and handling invoices.
  • Excellent communication skills, with the ability to build good relationships, confidently liaise with clients, and understand their needs.
  • Comfortable using a variety of software tools, with the ability to pick up and learn new systems quickly (e.g., project management, finance, or editing tools).
  • An interest in supporting creative spaces, events, and community-building projects.
  • An interest in creating and curating visuals, including supporting social media, website updates, and preparing pitch documents or templates (experience is a bonus but not essential).
  • A natural curiosity and creative mindset, open to exploring new ideas and approaches.
  • A proactive, problem-solving approach —you’re the type to spot what’s needed and make it happen.
  • Strong team-focused attitude, working collaboratively with colleagues and clients.
  • Basic understanding of film production (desirable, but not essential—we’ll train the right person).
  • Full UK driving licence (due to the nature of our work and location).
